Who we are

This website, www.tour-manager.com, is run by Fern Ridge Software, LLC, the company behind Tour Manager. We decide what this website collects and why, which makes us the "controller" of that information.

What this policy covers

This policy covers this website only. Tour Manager itself, the software that golf tour operators use to run their trips, is covered by each operator's agreement with us. If you are a guest on a golf trip and an operator holds your details in Tour Manager, that operator decides how your details are used, and your questions go to them.

What we collect, and why

When you send us a message

The contact form asks for your name, your email address, your message and, if you choose, your company. With it we also keep the address of the page you sent it from and the kind of browser you used, so we can spot a broken form. We use all of this for one thing: to reply to you and talk about Tour Manager. The legal basis is our legitimate interest in answering people who get in touch and, where you ask about a subscription, taking the steps that come before a contract.

Your message is stored in our own Workflow Manager database and a copy is emailed to our team. We keep it for up to 24 months after we last hear from you, and delete it sooner if you ask.

Keeping the form free of spam

To stop one source flooding the form, we keep a scrambled version of the internet address your message came from. It is scrambled with a secret key so it cannot be turned back into your address, and it is used only to count how many messages have come from the same place in an hour. It is kept with your message and deleted with it.

Counting visitors

We use Cloudflare Web Analytics to see how many people visit, which pages they read and roughly where in the world they are. It sets no cookies, keeps nothing on your device and does not build a profile of you. Cloudflare receives the page address, the page that linked to it, your browser and device type, and your internet address, which it uses only to work out your country before discarding it. We see totals, never individual visitors.

Hosting

The pages are served by GitHub Pages. Like every web host, GitHub keeps standard request logs, which include the internet address of each visitor, for security and to keep the service running. GitHub keeps these under its own privacy terms.

Logging in to your team's Tour Manager

The Log In box on this site only sends you to your team's own Tour Manager address. This website keeps nothing you type there.

Who else sees your information

We do not sell your information and we do not share it for advertising. The companies below handle it on our behalf, under contracts that limit what they may do with it:

• GitHub (Microsoft) hosts this website.
• Heroku (Salesforce) hosts the database that stores your message.
• Twilio SendGrid delivers the email copy of your message to our team.
• Cloudflare counts page views.

We will also share information if the law requires it, for example in response to a valid legal request.

Where your information is kept

We are based in the United States, and the companies above store information there. If you are in the United Kingdom or the European Union, your information travels to the United States. We rely on the safeguards each of these companies provides for that transfer, such as standard contractual clauses or their certification under the EU–US Data Privacy Framework.

Your rights

Wherever you are, you can ask us what we hold about you, ask us to correct it, or ask us to delete it. If you are in the United Kingdom or the European Union, you also have the right to object to how we use your information, to ask us to limit what we do with it, and to receive a copy in a form you can take elsewhere. To use any of these rights, email support@fernridge-software.com. We will reply within one month. You can also complain to your data protection authority, which in the United Kingdom is the Information Commissioner's Office.

Children

This website is for golf tour operators and is not aimed at anyone under 16. We do not knowingly collect information from children.

Changes to this policy

When we change this policy we update the date at the top of this page. If a change matters, for example a new kind of information we collect, we will say so plainly here.
